Menu names and screenshots are shown in Norwegian, as they appear in Rubic Admin with Norwegian selected.
Invoicing in Rubic Admin is a three-step wizard: you build the orders, choose how they are invoiced, and run the job. You start from the people list, so you can invoice one person or many at once.
Step 1: Build orders
- Go to Personer and tick the people to invoice. Filter first if useful, for example by members or a selection.
- Click Fakturering in the toolbar and choose Opprett ordre & fakturering (Create orders & invoicing).
- Name the run, for example "Membership fee 2026". The name appears in the job log.
- Add what should be invoiced:
- Medlemskap (Membership) – click Legg til medlemskap. One membership fee line is created for each person not already invoiced for the current membership period.
- Vare (Item) – choose item group and item, quantity, price and any specification, and click Legg til vare i kurv (Add item to basket).
- Medlemsformular – invoice based on a member form.
- Check the order lines and click Neste (Next).
Step 2: Invoicing
If you only want to create the order lines and invoice later, leave the option off. To send invoices right away:
- Turn on Send fakturaer etterpå (Send invoices afterwards).
- Write an invoice description. It appears as text on the invoice.
- Choose a follow-up plan for reminders and dunning.
- Choose how the invoice is sent: email, SMS, eFaktura and/or push notification.
- Check the number of members and lines, and click Kjør (Run).
The job may skip some people, for example those already invoiced or missing a role. The actual number is shown when the job has finished.
Step 3: Running
The job runs in the background. You can follow it under Økonomi → Jobbkjøring.
Other options under Fakturering
- Fakturer åpne ordre – invoice orders that have already been created.
- Annuller åpne ordre – cancel orders that have not been invoiced.
- Krediter ubetalte fakturaer – create credit notes for unpaid invoices.
You can also start from Økonomi → Fakturajournal → Ny faktura. You then choose one recipient (person, company or customer) and get the same wizard.
